How Cedrus Montessori collects, uses and protects information about families and children.
Last updated: October 2026
Who we are
Cedrus Montessori is a bilingual Montessori preschool at 5 Pretoria Avenue, East Legon, Accra. We are responsible for the personal information described in this policy. [Data Protection Commission registration number, to confirm with the school.]
This policy explains what we collect through this website, WhatsApp and our admissions process, why we need it, and the choices you have.
What we collect
When you book a visit: your name, WhatsApp number and email, your child's age group, the start date you hope for and your preferred visit day.
When you send us a message: your name, phone or WhatsApp number, the topic and your message. If you apply to work with us, also your CV.
When you apply for a place: your child's details; details for parents, guardians and an emergency contact; allergies, medical needs and who may collect your child; and the documents you upload (birth certificate, immunisation record, a photo of your child and parent ID). We also record your photo permission choice.
When you call or WhatsApp us: your number and what you tell us.
When you visit this website: our web host's servers record basic technical information, such as your IP address, browser type and the pages requested, to keep the site secure and working.
Your child's information
Most of what we hold is about young children, so we treat it with extra care. Health and collection details are used only to keep your child safe and well, and only the staff who look after your child can see them. We never publish a child's full name online, and we only share photos where you have given permission (see our Safeguarding & photo policy).
How we use it
We use your information to reply to you, arrange visits, consider applications and offer places, care for and teach enrolled children, keep families informed about school life, and meet our legal duties. We do not sell your information or use it for advertising.
Who we share it with
Our staff see only what they need for their role. Our website host stores form entries and uploads on our behalf [hosting provider to confirm]. If you message us on WhatsApp, those messages are also handled by WhatsApp (Meta) under its own privacy policy. We share information with health professionals, social services or the police only when a child's safety requires it or the law says we must.
How long we keep it
Visit requests and messages: [12 months] after our last contact.
Applications that don't lead to a place: [12 months].
Records of enrolled children: while your child is with us, then [period to confirm].
CVs: [6 months], unless you join our team.
After that, we delete the information or keep it only in a form that no longer identifies anyone.
Keeping it safe
Form entries and uploaded documents are stored in the school's website account behind a password-protected admin login. They are never publicly visible, and only staff who need them can open them. The whole site uses secure (HTTPS) connections.
Cookies
This website uses only the cookies it needs to work, for example to let you save the application form and finish it later. We don't use advertising or tracking cookies. [Update this section if website analytics are added.]
Your rights
Under Ghana's Data Protection Act, 2012 (Act 843), you can ask to see the information we hold about you or your child, ask us to correct it, object to how we use it, or ask us to delete it when we no longer need it. Get in touch using the details below and we'll respond as soon as we can.
If you're not happy with our answer, you can complain to the Data Protection Commission of Ghana.

We may update this policy from time to time. The latest version is always on this page, with the date it was last changed at the top.
